Platforms

How does Acumatica compare to other platforms?

Side-by-side at a glance: strengths, considerations, and who each one actually fits best.

PlatformStrengthsKey ConsiderationsBest Fit For

Acumatica

Cloud ERP for Growing Product Companies

  • ✓Unlimited users, no per-seat pricing
  • ✓True cloud with open API architecture
  • ✓Strong inventory, distribution, and order management
  • ✓Highly configurable without heavy custom code
  • ✓Transparent, consumption-based licensing
  • ✗Requires a knowledgeable deployment partner
  • ✗Less brand recognition than Oracle or SAP
Growing B2C, B2B, eCommerce and distribution businesses that need real inventory and operations without per-user pricing.

NetSuite

Cloud ERP, Oracle-Owned

  • ✓Strong brand recognition
  • ✓Good for multi-entity financials
  • ✓Wide partner network
  • ✗Per-user pricing that grows fast with your team
  • ✗Annual price increases are common
  • ✗Customizations are expensive and fragile
  • ✗Support quality varies widely by partner
Multi-entity finance teams, pre-IPO, and global consolidations where brand carries weight with the board.

Sage Intacct

Cloud ERP, Finance-First

  • ✓Strong financial reporting and GAAP compliance
  • ✓Good fit for professional services companies
  • ✗Limited inventory and operations capability
  • ✗Expensive for what you get in operations
  • ✗Best for service businesses, not product companies
  • ✗Integration-heavy if you have operational complexity
Professional services and non-profits where deep GAAP reporting is the core of the business.

Microsoft Dynamics 365

Business Central / F&O

  • ✓Deep Microsoft ecosystem integration
  • ✓Strong for companies already on Azure/M365
  • ✗Deployment complexity and cost is high
  • ✗BC vs. F&O confusion, choosing wrong is expensive
  • ✗Per-user licensing adds up quickly
  • ✗Partner quality varies dramatically
Enterprises already standardized on Azure and Microsoft 365, with internal IT to own the system day-to-day.

QuickBooks

Accounting Software (Not ERP)

  • ✓Low cost to start
  • ✓Easy to learn
  • ✓Familiar to most bookkeepers
  • ✗Not a true ERP, no inventory, operations, or visibility
  • ✗Breaks down fast as you grow
  • ✗Manual workarounds multiply over time
  • ✗No path to scale without starting over
Under ~$3M revenue with simple operations and no real inventory needs.

A few times we'll tell you not to switch

Acumatica is a strong fit for most growing product companies, and we'll tell you when it isn't. Three honest cases where another platform might be the right call:

  • →Under ~$3M and operations are simple. QuickBooks may genuinely still be enough. Come back when you outgrow it.
  • →Pre-IPO with complex multi-entity global finance as the dominant need. NetSuite's brand and partner network may carry weight with your board.
  • →Already deep in Microsoft 365 / Azure with internal IT. Dynamics may be a natural fit even if it's heavier to deploy.

Outside those cases, we'd argue Acumatica is the most flexible, fairest-priced cloud ERP for product companies, and we'd rather you go in eyes-open than spend a year regretting it.

Question Bank

Questions to ask every software publisher

The questions most buyers don't think to ask until after they've signed. Ask them upfront, with any platform, including ours. Filter by topic, or expand them all.

Acumatica + Stellar One

Acumatica doesn't charge per user. Pricing is based on transaction volume and functionality, so adding employees, contractors, or warehouse staff doesn't trigger a new invoice. With Stellar One's 5-Year Price Lock, your monthly subscription won't increase for five years, regardless of how much your team or your business grows.

Most other platforms

NetSuite, Dynamics, and Sage Intacct all charge per named user or per seat. As you hire, your ERP bill grows. Annual price increases are also common, often 5–10% per year, with limited ability to negotiate once you're locked in.

Follow-up to ask: "Can you show me a 5-year total cost of ownership projection assuming we add 10 users per year?"

Acumatica + Stellar One

Stellar One targets go-live in 90 days or fewer (often 30–90 depending on scope) using a rapid deployment methodology that gets you working in the system early, reducing surprises at launch. Deployment is included in your membership. There are no project fees, so we're not incentivized to drag it out. You pay nothing until you're live.

Industry average

ERP deployments commonly take 6–18 months across most platforms, and cost overruns of 50–200% beyond the original estimate are well-documented. The most common causes: scope creep, data migration issues, change management failure, and consultants billing by the hour.

Follow-up to ask: "What are the top three reasons your projects run over schedule, and how do you prevent them?"

Stellar One

Unlimited Support is included in every Stellar One membership. No support tiers, no ticket queues, no hourly billing for questions. When your business changes, we help you adjust the system to match. The relationship doesn't end at go-live; that's actually when it starts.

Most ERP partners

The industry standard is deployment-first: the partner deploys the system, trains your team, and exits. Post go-live support is typically a separate contract billed hourly or via a retainer, and the consultant who did your deployment is often moved to the next project.

Follow-up to ask: "Who specifically handles my account after go-live, and can I meet them before I sign?"

Acumatica + Stellar One

Acumatica was purpose-built for product companies. Inventory control, lot and serial tracking, multi-warehouse management, purchasing, and order management are all native, not bolt-ons or integrations. Stellar One specializes exclusively in B2C, B2B, eCommerce, and distribution businesses, so we've seen and solved the edge cases your business will actually hit.

Key considerations by platform

Sage Intacct is finance-first, operational capabilities are limited and often require third-party add-ons. QuickBooks is accounting software with no real inventory engine. NetSuite and Dynamics have inventory capabilities, but complexity and cost to configure them properly is significant.

Follow-up to ask: "Can you show me a demo of lot tracking and multi-location inventory movement, not just a slide?"

Stellar One

We offer a Risk-Free Trial specifically because we believe you should experience the system and our team before you commit. Your data belongs to you, always. Acumatica uses open API standards, so your data is portable, not locked into a proprietary format. And our membership lets you cancel any time after month six, no multi-year lock-in.

Industry key considerations

Data export limitations are common. Some platforms make it technically difficult or expensive to get your data out in a usable format. Contract auto-renewals, price escalation clauses, and long notice periods are also common traps, read every line before signing.

Follow-up to ask: "What exactly does a data export look like if I ever needed to switch, and is there a fee or a notice period?"

Stellar One

We start the data conversation early, not three weeks before go-live. Our process includes an upfront data assessment to identify quality issues in your legacy system before they become go-live emergencies. We work with you to define what data needs to migrate and what's better left archived. Data migration is included in your membership, it's not a change order.

Industry key consideration

Data migration is one of the most common sources of cost overruns and delays. Ask specifically who owns data cleansing, you or the partner, and whether discovery of unexpected data issues results in additional charges. Many partners bill these as scope changes.

Follow-up to ask: "If we discover 18 months of bad inventory data during migration, what does that do to our timeline and our cost?"

Stellar One

Change management isn't a module we check off, it's a leadership conversation we have from day one. We work with your internal champion to build adoption into the go-live plan, not bolt it on after the fact. Because the team that deploys is the team that supports you afterward, we stay accountable for adoption long past go-live.

Industry reality

Most ERP projects fail to meet original objectives, and the #1 cause isn't technology. It's people. Most partners provide user training at go-live and call it change management. The real work is helping leadership create accountability before the system launches.

Follow-up to ask: "Can you show me a specific example of a change management challenge you helped a member through, and what you actually did?"

Acumatica + Stellar One

Acumatica has an open API architecture and a marketplace of 150+ pre-built connectors for eCommerce (Shopify, BigCommerce, Magento), EDI, shipping, payroll, and more. Because our support is unlimited and included, when an integration breaks, and at some point, every integration breaks, you're not waiting on a ticket queue or getting a bill.

What to watch for

Integration ownership is a gray area in most contracts. If your Shopify connector stops syncing, who fixes it, your partner, the connector vendor, or the ERP? Get the answer in writing. Hourly support models make integration troubleshooting expensive and slow.

Follow-up to ask: "Who specifically is responsible when a third-party integration breaks, and is resolving it included in my support?"

Partner Comparison

Yes, there are other Acumatica partners. Here's how to compare us.

If you're already sold on Acumatica, the next question is who you deploy it with. That decision is just as important as the platform. Here are six questions worth asking every partner, and how we'd answer them.

Questions to ask any Acumatica partner, including us

These cut through the pitch and get to what actually matters in a long-term partner relationship.

Specialization

"What percentage of your members are product companies, eCommerce, B2B, B2C, or distributors?"

Stellar One's answer

Product companies are 100% of who we serve, eCommerce, B2C, B2B, and distribution. It's not a segment, it's our entire focus.

Team continuity

"Will the same team that deploys our system be the ones supporting us after go-live?"

Stellar One's answer

Yes. Your deployment consultant and your ongoing support team are the same people. No handoff, no re-explaining your business.

Pricing transparency

"What's the total cost of ownership for year one and year five, all in, no surprises?"

Stellar One's answer

Free deployment is included. Your subscription is locked for five years. You pay nothing until go-live. We'll put a 5-year TCO on paper before you sign.

Deployment model

"Do you charge by the hour, by the project, or is it included? What happens if it takes longer than expected?"

Stellar One's answer

Deployment is included in your membership, no hourly billing, no project overages passed to you. If it takes longer, that's on us.

Track record

"What's your member retention rate, and can you connect me with a reference in my industry?"

Stellar One's answer

95% member retention. We'll give you references and you pick which industry, eCommerce, distribution, or B2B.

Support depth

"How many support tickets can I submit per month, and what's your average response time?"

Stellar One's answer

Unlimited. No ticket caps, no tiered SLAs, no charge per question. Ask as much as you need.
